Booking Policies

Clear, honest policies so you know exactly what to expect when booking your Southern African journey with us. These policies form part of our Terms & Conditions.

Our Role

Verdanti · Africa is a specialist travel agent and curator. We do not own lodges, vehicles, or activities — we hand-pick trusted third-party operators and arrange your trip with them on your behalf. Each operator has its own terms, which apply alongside ours and are shared with you before you pay. Full details are in our Terms & Conditions.

How to Book

  1. Enquire. Tell us what you have in mind. We’ll talk it through and build a tailored proposal.
  2. Confirm. When you’re happy, we send a written quotation and invoice setting out the price, what’s included, and the specific operator terms and payment schedule for your trip.
  3. Pay your deposit. Your booking is only confirmed once we receive your deposit and you accept the quotation. We then secure your arrangements with the operators.
  4. Travel. We send your final documents and vouchers, and remain reachable before and during your trip.

Deposits & Payment Schedule

A non-refundable deposit of 30% of the total trip value is required to confirm most bookings. The balance is due 60 days before travel unless otherwise agreed in writing.

For bookings made within 60 days of travel, full payment is required at the time of confirmation. Some lodges, camps, and peak-season arrangements require larger or earlier payments — where this applies, it will be clearly stated in your quotation before you commit.

If a balance is not paid by its due date, we may treat the booking as cancelled by you and apply the cancellation charges below.

Payment Methods & Fees

Prices are quoted in US Dollars (USD) unless stated otherwise. We accept payment via PayNow (card and mobile money) and by international bank transfer.

  • We do not charge a separate booking or service fee — our planning is included in the quoted price.
  • Card payments may carry a payment-processor fee, which is shown to you before you confirm payment.
  • For bank transfers, any bank or intermediary charges are the responsibility of the sender, and payments must be received in full (net of charges).

Changes & Amendments

Need to adjust a confirmed booking? Changes requested more than 60 days before travel will be accommodated where possible, subject to availability and any operator amendment fees. Changes requested within 60 days of travel, or a change of travel dates that an operator treats as a re-booking, may be handled as a cancellation and re-booking, with the charges below applying to the original arrangements.

Cancellation by You

Cancellations must be made in writing (email is fine). The date we receive your written notice determines the charge. Unless your quotation states stricter operator terms, the following applies to the total trip value:

  • More than 90 days before travel: deposit forfeited; any balance already paid is refunded, less an administration fee and any non-recoverable supplier costs.
  • 60–90 days before travel: 50% of the total trip value is charged.
  • 30–59 days before travel: 75% of the total trip value is charged.
  • Less than 30 days before travel (or no-show): 100% of the total trip value is charged.

Some operators apply stricter cancellation terms, particularly for peak season, festive periods, and special events. Any such terms are stated in your quotation and take precedence over the tiers above. How refunds are processed is set out in our Refund Policy.

Cancellation or Changes by Us or an Operator

Occasionally an operator must change or cancel an arrangement — for example due to weather, park or border closures, safety concerns, water levels, or minimum-numbers requirements. If something material changes, we will tell you promptly and work to offer a suitable alternative of equivalent standard, or a refund of the amounts paid for the affected component that we are able to recover.

Where a change or cancellation is caused by events beyond our or the operator’s reasonable control (see Force Majeure in our Terms), refunds are limited to amounts we can recover from suppliers, and we may offer a travel credit in place of a cash refund.

Travel Insurance

Comprehensive travel insurance is a condition of travelling with us in practice: we strongly require that every traveller holds insurance covering trip cancellation and curtailment, medical emergencies and repatriation, and any adventure activities you intend to do (for example rafting, bungee, helicopter flights, or walking safaris). Verdanti · Africa can point you to suitable providers but does not sell insurance.

Passports, Visas & Health

You are responsible for holding a valid passport (with sufficient validity and blank pages), the correct visas, and any required vaccinations or health precautions (for example yellow-fever certification and malaria prophylaxis) for every country on your itinerary. We are happy to offer general guidance, but requirements change — please verify with the relevant embassy and a travel-health professional. We are not liable for costs arising from inadequate documentation or health preparation.

Health, Fitness & Special Requirements

Please disclose any medical conditions, mobility needs, dietary requirements, and the ages of all travellers at the time of booking, so we can advise on suitability. Some activities carry age, weight, fitness, or health restrictions set by the operator. We will do our best to accommodate special requests but cannot guarantee them unless confirmed in writing.
