Refund Policy

How and when refunds apply to your booking. This policy works together with our Terms & Conditions and Booking Policies.

The Short Version

Your 30% deposit is non-refundable. After that, what you can recover depends on how far ahead of travel you cancel and on the individual operator terms for your trip. Where a refund is due, we aim to pay it within 14 days. Because we act as an agent (not the operator), we can only refund amounts we are able to recover from suppliers, less unavoidable costs.

How Refunds Are Calculated

If you cancel, the cancellation charges in our Booking Policies determine how much is retained. Your refund is the amount you have paid, minus:

  • the applicable cancellation charge for the date we receive your written notice;
  • your non-refundable 30% deposit;
  • any non-recoverable supplier costs and a reasonable administration fee.

For reference, cancellation charges on the total trip value are typically: more than 90 days before travel — deposit forfeited; 60–90 days — 50%; 30–59 days — 75%; under 30 days or no-show — 100%. Stricter operator terms stated in your quotation take precedence.

Non-Refundable Items

  • The 30% confirmation deposit.
  • Payment-processor and bank/transfer charges already incurred.
  • Services already delivered or partly used, and any “no-show” arrangements.
  • Third-party costs that suppliers will not refund (for example certain peak-season, festive, charter-flight, or special-event bookings).

If We or an Operator Cancel

If an arrangement is changed or cancelled by us or an operator and we cannot offer a suitable alternative of equivalent standard, you are entitled to a refund of the amounts paid for the affected component that we are able to recover from the supplier. Where the cause is an event beyond our or the operator’s reasonable control (see Force Majeure in our Terms & Conditions), refunds are limited to recoverable amounts and we may offer a travel credit in place of a cash refund.

How to Request a Refund

Send your request in writing to hello@verdantiafrica.com, quoting your booking reference and the reason. The date we receive your written notice is the date used to calculate any cancellation charge. We’ll confirm receipt and let you know the refund amount and timing.

How Refunds Are Paid

Approved refunds are made to the original payer, normally using the original payment method, within 14 days of the refund amount being agreed (sooner where possible). Please note:

  • Refunds are made in the original currency of payment (USD unless otherwise stated). We are not responsible for exchange-rate movements between payment and refund.
  • Any bank, intermediary, or payment-processor charges on a refund may be deducted from the amount returned.
  • Where a refund depends on us first recovering funds from a supplier, we will pay you within 14 days of receiving those funds.

Travel Insurance & Chargebacks

Many cancellation costs — including those caused by illness, injury, or unforeseen events — are exactly what travel insurance exists to cover, which is why we require it. Please claim through your insurer where applicable. We ask that you raise any refund concern with us directly first, rather than initiating a card chargeback, so we can resolve it quickly and fairly.
